We begin by mapping every major system and surface in your home — HVAC, roofing, irrigation, finishes, and more — to establish a clear baseline of ongoing maintenance needs.
Your plan is built using trade-recommended service intervals, ensuring every component is addressed before problems arise and no critical task is overlooked.
If new vendors are needed, we’ll source and onboard them for a small one-time setup fee.

Oversight & Coordination

We coordinate all scheduled maintenance — from core systems like HVAC, pools, irrigation, and landscaping to specialized features such as geothermal, wine cellars, and access control — ensuring access, timing, and communication run smoothly.
Each visit is logged and documented in your property dashboard, providing a clear record of completed work and upcoming service dates.

On-Site Presence

Each plan includes dedicated onsite visits based on your retainer tier — allowing us to walk the property, identify developing issues, and flag items for routine maintenance or new work orders.
Because you’re an active client, we’re also available for additional hours when unexpected issues arise, helping scope and manage resolutions efficiently.

Every Estate South retainer includes a foundation of ongoing maintenance coordination — scheduling, confirming, and documenting your essential vendors — along with a bank of flexible service credits that can be applied where your property needs attention most.These credits can be used for onsite inspections, budgeting, project scoping, or ongoing project management tasks — adapting month to month as your property’s priorities evolve.
Because there are always new issues to assess, plan for, or resolve, this structure ensures your base hours are never wasted — they’re simply redirected to where they add the most value.For larger or specialized projects, dedicated project management hours are available exclusively to retainer clients, providing continuity and trusted oversight from concept to completion.

When property damage occurs, Estate South acts as your independent representative—reviewing scopes, coordinating trades, and verifying that repairs meet the approved restoration plan. We bill this as professional consulting (not contractor “project management”), which some insurers may recognize as a reimbursable service similar to appraisal or design work.
